VoiceGo Privacy Policy

VoiceGo provides tools for translating, dubbing, editing, managing, scheduling, and publishing audio and video content.

This Privacy Policy explains how VoiceGo (“VoiceGo,” “we,” “us,” or “our”), collects, uses, stores, and shares personal data when you use:

  • the VoiceGo website;
  • the VoiceGo application and APIs;
  • AI dubbing, transcription, translation, subtitle, and voice-cloning features;
  • asset management, export, scheduling, and publishing features; and
  • related support, billing, and account services.

1. Our role

VoiceGo acts as a data controller when we decide how personal data is used, including account, billing, security, support, and product-usage data.

When a customer uploads or processes content containing personal data on behalf of another person or organization, VoiceGo generally processes that content on the customer’s instructions. In that situation, the customer is responsible for determining whether they have the necessary legal basis, permissions, and notices for the processing.

2. Personal data we collect

Account and profile information

We may collect:

  • your name and email address;
  • authentication details and account identifiers;
  • profile, language, country, and workspace preferences;
  • information received through Google Sign-In or another authentication provider; and
  • communications and support requests.

We do not store your authentication provider password.

Customer Content

“Customer Content” includes content that you upload, import, create, or process through VoiceGo, such as:

  • video and audio files;
  • subtitle and transcript files;
  • text, captions, translations, scripts, and prompts;
  • images, thumbnails, and other campaign assets;
  • generated audio, dubbed videos, subtitles, and exports; and
  • content titles, descriptions, publishing settings, and related metadata.

Customer Content may contain personal data about you, speakers appearing in the content, or other people.

Voice data

When you use voice synthesis or voice cloning, we may process:

  • voice recordings and uploaded voice samples;
  • speech segments extracted from audio or video;
  • speaker labels and speaker assignments;
  • voice characteristics required to generate a synthetic voice;
  • provider-specific voice identifiers or voice profiles; and
  • generated synthetic speech.

Depending on how it is processed and the laws that apply, voice data may be considered sensitive or biometric personal data.

VoiceGo does not use voice data for biometric authentication or to determine a person’s identity unless we introduce such a feature with a separate notice and appropriate consent.

Connected AI-provider information

When you use an AI provider through VoiceGo, we may collect or process:

  • the provider and model you select;
  • generation settings and provider configuration;
  • processing status, error messages, and job logs;
  • usage, token, duration, credit, and estimated-cost information; and
  • API credentials that you choose to provide through Bring Your Own Key (“BYOK”).

Stored BYOK credentials are encrypted and access is restricted to the systems and personnel that need them to perform requested operations.

Connected social-platform information

When you connect a social-media account, we may receive:

  • your platform account name and identifier;
  • profile or channel information made available by the platform;
  • authorization and refresh tokens;
  • granted permissions;
  • publishing destinations and settings; and
  • publication identifiers, status, and error information.

We only use these permissions to provide the connected features that you request.

Billing and subscription information

Purchases are processed by Paddle, which acts as VoiceGo’s Merchant of Record.

Paddle may collect your name, contact details, billing address, location, payment method, tax information, and transaction information. VoiceGo receives information needed to operate your subscription, such as:

  • customer and transaction identifiers;
  • purchased plan;
  • subscription and payment status;
  • billing country;
  • invoice or refund status; and
  • limited buyer information necessary for account matching and support.

VoiceGo does not receive or store your complete payment-card number.

Device and usage information

We may automatically collect:

  • IP address;
  • browser, device, and operating-system information;
  • session and login information;
  • pages and features used;
  • timestamps, performance data, and error logs;
  • security and fraud-prevention signals; and
  • cookie or similar-technology identifiers.

3. How we use personal data

We use personal data to:

  • create and secure accounts;
  • provide transcription, translation, subtitle, dubbing, voice-cloning, editing, export, and publishing features;
  • store and organize Customer Content;
  • process AI jobs and display their progress;
  • connect to customer-selected AI providers and social platforms;
  • manage subscriptions, credits, quotas, and usage;
  • provide customer support;
  • detect fraud, misuse, unauthorized access, and violations of our Terms;
  • maintain, troubleshoot, and improve VoiceGo;
  • communicate service, security, billing, and policy updates;
  • comply with legal, accounting, tax, and regulatory obligations; and
  • establish, exercise, or defend legal claims.

Where required by law, our legal bases may include:

  • performing our contract with you;
  • your consent;
  • compliance with legal obligations;
  • our legitimate interests in operating and securing VoiceGo; and
  • protecting the rights, safety, and security of users, VoiceGo, or others.

Where we rely on consent, you may withdraw it. Withdrawal does not affect processing already lawfully completed, but it may prevent us from providing features that require the relevant data.

4. Voice cloning and speaker consent

You must only upload, clone, synthesize, or publish a person’s voice when you have the legal right to do so.

Before creating or using a voice clone, VoiceGo may require you to confirm that:

  • the voice belongs to you; or
  • the speaker has given informed permission for the intended use; or
  • another valid legal basis permits the processing and use.

When Customer Content includes another person’s voice, image, likeness, or personal information, you are responsible for providing any required notices and obtaining any required permissions.

VoiceGo may preserve consent confirmations, timestamps, account identifiers, and related records to demonstrate compliance, investigate misuse, and protect affected individuals.

We may suspend or delete a voice profile where we reasonably believe it was created or used without authorization.

5. AI providers and BYOK

VoiceGo uses third-party AI providers to perform functions such as:

  • speech recognition;
  • speaker detection;
  • translation;
  • voice synthesis;
  • voice cloning;
  • subtitle generation; and
  • other media-processing operations requested by you.

We send each provider only the information reasonably required to perform the selected operation. Provider availability, features, data locations, and retention practices may vary.

VoiceGo-managed providers

Where VoiceGo manages the provider relationship, we seek to use providers under terms that restrict processing to delivering the requested service and require appropriate data protection and security measures.

BYOK providers

When you connect your own provider account or API key:

  • processing is also governed by your agreement with that provider;
  • provider charges are your responsibility;
  • the provider may receive Customer Content and related metadata;
  • the provider’s retention, training, location, and security settings may apply; and
  • removing a key from VoiceGo does not automatically delete data held by that provider.

You should review the selected provider’s terms, privacy policy, and data controls before using it.

6. Use of content for AI training

VoiceGo does not use Customer Content, voice samples, cloned voice profiles, transcripts, translations, or generated media to train VoiceGo’s general-purpose AI models unless you separately and expressly opt in.

We may use:

  • aggregated statistics;
  • de-identified information;
  • operational metrics;
  • error classifications; and
  • user feedback intentionally submitted for product improvement,

provided that this information does not reasonably identify a person or reveal Customer Content.

For BYOK providers, the provider’s own agreement and account settings determine whether it may retain or use submitted data. Where technically and contractually available, VoiceGo configures VoiceGo-managed providers not to use Customer Content for general model training.

7. Social publishing

When you ask VoiceGo to publish or schedule content, we send the selected content, captions, metadata, thumbnails, and publishing instructions to the relevant social platform.

The platform processes this information under its own terms and privacy policy. After publication, content may become publicly available and may be copied, shared, indexed, downloaded, or processed by third parties outside VoiceGo’s control.

You can disconnect a platform through VoiceGo or through the platform’s own account settings. Disconnecting prevents future VoiceGo access but does not remove content already published.

8. How we share personal data

We may share personal data with:

  • hosting, storage, database, authentication, email, monitoring, and customer-support providers;
  • AI, transcription, translation, voice-synthesis, and media-processing providers;
  • Paddle and related billing, tax, fraud-prevention, and payment partners;
  • social platforms you connect;
  • professional advisers, auditors, insurers, and legal advisers;
  • government authorities or courts where disclosure is legally required;
  • parties involved in investigating fraud, abuse, security incidents, or unauthorized voice use; and
  • a buyer, investor, successor, or adviser in connection with a merger, financing, restructuring, or sale of all or part of our business.

We do not sell personal data.

We do not share personal data for cross-context behavioral advertising without providing any notice and choice required by applicable law.

9. Data retention and deletion

We retain personal data only for as long as reasonably necessary for the purposes described in this Policy.

Retention depends on factors including:

  • whether your account remains active;
  • whether the data is needed to provide an unfinished or scheduled service;
  • your storage and deletion settings;
  • contractual or legal requirements;
  • billing, tax, audit, and fraud-prevention obligations;
  • active disputes or investigations; and
  • backup and disaster-recovery cycles.

Customer Content and voice profiles remain available until you delete them, close your account, or the applicable workspace administrator removes them, subject to legal retention requirements and backup cycles.

When you delete content or a voice profile, it is removed from active systems within a commercially reasonable period. Residual copies may remain temporarily in encrypted backups and are deleted or overwritten according to our backup schedule.

We may retain:

  • transaction and invoice records where required by tax or accounting law;
  • consent and voice-authorization records where needed to address misuse or legal claims;
  • security logs for fraud prevention and incident investigation; and
  • de-identified information that can no longer reasonably identify an individual.

Account closure does not automatically delete information held independently by Paddle, social platforms, or BYOK providers. Requests relating to those services may need to be submitted directly to the relevant provider.

10. Security

We use reasonable technical and organizational measures designed to protect personal data, including, where appropriate:

  • encryption in transit;
  • encryption at rest for sensitive credentials;
  • access controls and authentication;
  • secure object storage;
  • separation of customer data;
  • logging and monitoring;
  • credential and secret-management controls;
  • backups and recovery procedures; and
  • procedures for investigating security incidents.

No system is completely secure. You are responsible for protecting your password, connected accounts, BYOK credentials, and devices.

Where required by law, we will notify affected individuals and relevant authorities of qualifying personal-data breaches.

11. International data transfers

VoiceGo is designed for global use. Personal data may therefore be stored or processed in countries other than the country where you live.

Where required, we use appropriate safeguards for international transfers, which may include:

  • contractual data-protection terms;
  • standard contractual clauses;
  • transfer-risk assessments;
  • provider security reviews; and
  • other mechanisms recognized under applicable law.

For BYOK processing, the selected provider and your provider configuration may determine the processing location.

12. Your privacy rights

Depending on where you live, you may have the right to:

  • request access to your personal data;
  • obtain a copy of your data;
  • correct inaccurate or incomplete data;
  • request deletion;
  • restrict or object to processing;
  • withdraw consent;
  • request data portability;
  • opt out of certain advertising or data-sharing practices;
  • appeal a decision concerning a privacy request; and
  • lodge a complaint with a competent data-protection authority.

We may need to verify your identity or authority before completing a request. We will respond within the period required by applicable law.

Some information may be exempt from deletion or disclosure where retention is required by law, necessary to protect another person, or needed to establish or defend legal claims.

Where VoiceGo processes personal data only on behalf of a customer organization, we may refer your request to that organization.

13. Cookies and analytics

VoiceGo may use:

  • necessary cookies for authentication, security, preferences, and core functionality;
  • analytics technologies to understand website and product performance; and
  • optional marketing technologies where enabled.

Where required, non-essential cookies are used only after consent. You can manage them through the cookie-preference tool made available on our website.

We do not intentionally send Customer Content, voice samples, BYOK credentials, or unpublished media to advertising or public-page analytics services.

14. Marketing communications

We may send product news or promotional communications where permitted by law.

You can unsubscribe through the link in a marketing email or by contacting us. You may still receive transactional communications concerning your account, security, billing, processing jobs, or service changes.

15. Children

VoiceGo is not directed to children under 18, and they may not create an account or use voice-cloning features without any authorization required by applicable law.

We do not knowingly collect personal data from children in violation of applicable law. Contact [email protected] if you believe a child’s information has been submitted improperly.

16. Changes to this Policy

We may update this Privacy Policy to reflect changes to VoiceGo, our providers, or applicable law.

We will update the “Last updated” date and provide additional notice where a change materially affects your rights or how we use personal data.
